A Distribution Plan is a customizable set of rules that determine how new leads are allocated to users and groups. This tool ensures that leads are assigned to the most suitable sales representatives based on predefined rules, promoting fair and efficient lead distribution and addressing potential opportunities promptly.
Here is how you create a Distribution Plan in logixx CRM:
From Admin>Marketing: select Distributions.
Select the Add option to create a new Distribution plan.
General Settings
Give your new plan a unique Title.
Note: Give it as descriptive a name as you can. When you have multiple distribution plans listed on the distribution page, it is helpful if they all have names that help you differentiate between them.
Select the Unassigned App option which is intended for newly created & unassigned Apps. At the same time, the Assigned App is designed for Redistribution Plans.
Enabling Avoid Offline Agents will skip users whose Distribution state is not set to
Available. This is the icon located on the left-hand side of a CRM user profile avatar.
Enabling Notifications will ensure users receive an in-app notification when assigned a new lead.
Select the Data Group & Data Sources you would like to apply to this Plan. While only a single Data Group can be selected for a Plan, the system supports selecting multiple Data Sources.
Lastly, select one or more Stages or Statutes that will be included in this Plan. This means that only apps in the specified workflow Stages/Statuses will be considered for this Plan.
Note: Do not Activate your new Plan just yet! We will do this at the very end.
Schedules Setting
Schedules dictate when the automation runs if you want this distribution program to run in shifts throughout the day, set start and end times for multiple shifts.
For example, using shifts, a distribution program can run from 10:00 AM to 12:30 PM, then again from 4:00 PM to 9:00 PM.
Use the form on this tab to schedule when this distribution program will run.
It is possible to schedule a distribution program to run multiple time ranges (shifts) in a day.
When done setting the schedule for this plan, click the Save & Continue Config button.
User Filters
User Filters will dictate which users will receive leads from this Plan. You can select which Roles or Users should be included in this Plan.
User Filter Conditions
Here, you can set your unique distribution logic per user. You might elect for one user to receive an unlimited number of leads per minute, hour, or day, while another user may be limited to only five leads per day.
Configure your desired settings, select Save & Continue Config, then click on the General tab to review your Plan one last time before activating it.
Notice: Be sure to review your settings and confirm the desired outcome. Incorrect settings can result in incorrect assignment or reassignment of apps, and the process is not reversible!
